Terms and Conditions
All arrangements made between ourselves (the Owners) and you (the Client) are subject to the following conditions.
1. WHO WE ARE
These terms and conditions are between us as the owners of La Roca Rara (We, Us, Our) and the party leader who makes the booking
(You/Your) . These terms and conditions govern all bookings at La Roca Rara (Villa), and our provision of accommodation at the Villa, including
its facilities and areas made available as part of your stay (Accommodation).
By making a booking or using the Villa, you agree to comply with these terms and conditions. You can find everything you need to know about
us, and the Villa on our website before you book.
Our contact details are [info@larocarara.com]. For any issues or questions during your stay, please contact us or our house manager, who is
responsible for managing and overseeing the Villa and its facilities (House Manager).
Please make sure you read these terms and conditions carefully before booking or using the Villa. We would like to draw your particular
attention to paragraph 4, REFUNDS AND CANCELLATIONS.
2. BOOKINGS
As owners, we are authorised to offer this self-catering property for rental and can indicate if the Villa is available between certain dates,
however as we are sure you will understand we can only confirm a booking upon receipt of a valid deposit as set out below in HOW WE
CHARGE FOR YOUR BOOKING as well as completed booking form. We will contact you to confirm we have received your booking request and
then contact you again to confirm if we’ve accepted it.
A contract will exist only from the point we receive your deposit, or in the case of a booking made less than 12 weeks prior to the arrival date,
when we receive full payment. The Villa is to be used by the guests named or numbered on the booking form. The booking cannot be resold
or transferred to others.
All communications will be made to you as the party leader and you are responsible for making sure the information on the booking is
accurate. This includes the booking dates, length of stay and details of all guests included in the booking. If you provide us with incorrect
information, including incorrect dates, you will remain liable for the full cost of the booking.
3. HOW WE CHARGE FOR THE BOOKING
DEPOSIT AND PRICES
A deposit is required to confirm a booking. The deposit amount will depend on how far in advance the booking is made.
For bookings made more 6 months prior to the arrival date, a deposit of 25% of the total booking cost is required at the time of booking. The
remaining balance is payable no later than 8 weeks before the arrival date.
For bookings made between 6 months and 12 weeks prior to the arrival date, a deposit of 50% of the total booking cost is required at the time
of booking. The remaining balance is payable no later than 8 weeks before the arrival date.
For bookings made less than 12 weeks prior to the arrival date, full payment of the total booking cost is required at the time of booking. A signed
booking form must also be provided immediately. The booking would then be subject to written confirmation. In the event we decline a booking,
a full refund will be issued.
Deposits are payable by bank transfer to our details, which will be provided to you before you book. All deposits are non-refundable, unless we
reject the booking or cancel in accordance with these terms and conditions.
All amounts payable in relation to a booking are in [Great British Pounds (GBP)] or [Euros} as quoted. Your quoted price may be subject to change
until the booking is confirmed by receipt of your deposit and completed booking form.
PAYMENT OF OUTSTANDING BALANCE
A reminder will be sent to you prior to the due date of any outstanding balance, but we cannot guarantee receipt of any reminder, and it is your
responsibility to ensure that the remaining balance is paid by the due date. If payment is not received on time, we will endeavour to contact you
to confirm that you will send the payment without further delay, however if payment is still not made or it is indicated that payment will not be
made, we reserve the right to cancel the booking and retain the deposit.
We may also charge interest on any overdue payments at a rate of [4%] a year above the Bank of England base rate from time to time. This
interest accrues daily from the due date until the date of actual payment of the overdue amount, whether before or after judgement. You must
pay us this interest with any overdue amount.
SECURITY/DAMAGE DEPOSIT
You must pay a security/damage deposit of [£500][£1000] for all bookings. You must pay the security/damage deposit with any outstanding
balance 8 weeks prior to booking by bank transfer. If you do not have any outstanding balance remaining, the security/damage deposit must
still be paid 8 weeks prior to booking.
The security/damage deposit will be returned within [14] days of the final day of the booking by bank transfer to the original account details.
We reserve the right to deduct from the security/damage deposit the cost of any loss, damage or breakage caused to the Villa.
Please be aware that some tanning products leave stains on bed linen and furniture. Any stains we are unable to remove will be subject to a
charge against your damage deposit and the sums returned to you will be reduced accordingly. The end of stay clean is included in the price,
however guests are required to leave the accommodation clean, tidy and in the same condition as on their arrival. Any extra cleaning, laundry,
maintenance and/or rubbish disposal required will be charged against the damage deposit and the sums returned to you will be reduced
accordingly.
Where any costs to be deducted from the security/damage deposit exceed the security/damage deposit, you must pay the excess.
EXTRA CHARGES
All prices quoted are based on 16 people. The Villa can accommodate up to 20 people. The extra cost per additional bed per week is £200/€250.
Where we reasonably suspect that more guests attend the Villa than what is declared on your booking form, we reserve the right to charge you
for the extra guests. There is no charge for travel cots.
The cost to heat the swimming pool is €250 (June to Sept), €350 (Oct to May) per week payable in cash on arrival. Please be aware that between
January and March the maximum temperature the pool will reach is 22 degrees.
4. REFUNDS AND CANCELLATIONS
Notice of cancellation must be made by you and communicated to us in writing.
Cancellation charges are calculated by reference to how far in advance of the arrival date the booking is cancelled. If you cancel:

more than 6 months before the arrival date, you will be charged the booking deposit only (and such deposit shall be non-refundable in
this case) and refunded any other sums paid;

between 6 months and 12 weeks prior to the arrival date, you will be charged 50% of the total cost of the booking and refunded any
other sums paid;
-
less than 12 weeks prior the arrival date, you will be charged 100% of the total cost of the booking and you will not be entitled to a
refund [except for any security/damage deposit that has been paid].
Guests are encouraged to take out a valid insurance policy at the time of booking. Such insurance should provide adequate cover for
circumstances including, but not limited to, travel disruptions or cancellations, personal belongings, public liability, and any accidental damage
caused during their stay.
5. ADDITIONAL SERVICES
If you wish to arrange any additional services during your stay, these can be organised with third party providers at the time of booking. Any
such services will be supplied and charged for directly by the relevant provider.
6. DISABLED ACCESS
We do have disabled access via bedroom 3. The Villa is situated on one floor except for the TV lounge, laundry room and bedroom 8. There is
one step to get onto the front terrace. Some of the door entries and shower access are tight so before booking please contact us with the
measurement of the wheelchair so that we can advise on accessibility.
7. CHECK-IN/CHECK-OUT
Check-in time is 16.00 and Check-out at 10.00 local time. We are happy to consider making arrangements to look after luggage when necessary.
When possible, we will consider an early check-in from 12:00 local time for an additional cost of €100 paid on arrival. The House Manager will
advise if this is possible.
8. SECURITY
All baggage, money and personal possessions always remain and in all circumstances at guests own risk. We provide a safety deposit box, which
you may wish to use for any items of value. We cannot take responsibility for any items lost, stolen or damaged during your stay other than
liability arising from our negligence or liability that cannot be excluded or limited by law.
Please ensure that you lock the Villa when going out.
9. HEALTH AND SAFETY
We recommend that you consider obtaining appropriate travel insurance to cover any health problems or injuries that may arise during your
stay. The use of the swimming pool is at your own risk. Please note that the swimming pool is an integral part of the house so special care will
be needed when looking after small children. No diving is permitted for the safety of all guests. In the interest of safety, we ask guests to use
plastic glasses around the pool area.
You use the Villa and its facilities at your own risk, and we will accept no liability for any accident, illness or injury, suffered during your stay at
the Villa, howsoever caused, other than liability arising from our negligence or liability that cannot be excluded or limited by law.
10. LOCAL SERVICES
We are unable to accept responsibility for any inconvenience caused by the failure of local services for any length of time such as electricity,
water supply, broadband internet, and television (analogue or satellite).
11. NOISE & MUSIC
We are happy for you to play music in the reception room and pool terrace until the early hours but ask that all music on the front terrace stops
at midnight as this disturbs the neighbours!
12. CLEANING/RUBBISH
Unless we agree otherwise, the Villa is self-catering and guests are responsible for disposing of their own rubbish while staying at the Villa. All
rubbish is collected from communal areas, and our nearest communal bins are at the bottom of the hill just past Hotel Rural Almazara on the
left. On check out please ensure you remove all rubbish and put any dishes and glassware in the dishwasher. Please turn the dishwasher on
before you leave. We ask that you leave the Villa as you found it.
We reserve the right to charge, and you must pay for any excessive cleaning required along with any costs for rubbish removal.
13. EVENTS AT LA ROCA RARA
Maximum capacity for events is 30 people. All event plans are subject to approval. If you wish to host an event at the Villa, this should be
discussed and agreed with the on-site House Manager.
At all times, in the interest of safety, we ask guests to use plastic glasses around the pool area. Fireworks/lanterns are prohibited due to the risk
of fire. Candles (excluding battery-operated ones) cannot be used around the swimming pool due to the plastic lining and damage they cause).
Use of the Villa and its facilities by any contracted services eg; bar, DJ/band, caterers etc requires liaison with our House Manager and will be
subject to approval. We expect any contracted services to leave our facilities as they find them. The House Manager reserves the right to attend
your event in an official capacity to oversee and maintain Villa facilities as necessary. Approval may be given at the House Manager or our
absolute discretion. We may take into account guest numbers and the services contracted.
Non-resident guests are expected to leave the premises once the event has finished. Please note that the Villa is for use for the guests listed on
the booking form only with the exception of event days specified. Our cleaning team will be utilised for a clear and clean of all social areas in the
morning after the event to return the social areas of the Villa back to a fit state, but you must ensure that the Villa is respected and you will be
liable for any damage caused in line with these terms and conditions.
